How to customise list views in Service VIN
The View button on Customers, Leads, Jobs and Quotes lets each person choose what their list shows — including a Rating column built from the star step that runs before Google. On Command, View also sits on the customer and lead files, so you can pull contact details, ratings, their garage and their open work onto one screen.

The short answer
Can each person set up their own lists?
Yes. The View button on Customers, Leads, Jobs and Quotes lets each person choose the columns their own list shows, and the choice is theirs rather than the shop's. One of the columns is the private star rating a customer gave in the step that runs before the Google review request.

Every working list — Customers, Leads, Jobs and Quotes — has a View button beside its search box. It opens a panel of everything that list *can* show, with a switch on each one.
Your choices are yours alone. Two people at the same front desk can run the same list completely differently, and nothing you switch off here disappears for anyone else.
Change what a list shows
- 1
Open View
On the list you want to change, tap View — next to the search box on Customers, Quotes and Leads, and beside the result count on Jobs. A blue dot on the button means that list is already customised.
- 2
Switch fields on and off
Each row says what the field is in plain English. The one at the top marked Always shown is the field that identifies the row — the customer's name, the quote number — and can't be switched off, because a list you can't identify rows in isn't much of a list.
- 3
Drag them into your order (Customers and Quotes)
Those two are proper column tables, so the order is yours: drag by the grip handle, or tab to it and press ↑ / ↓. Leads and Jobs are card-style rows with a fixed layout, so there you choose what shows, not where.
- 4
Save view
Nothing changes until you press Save view, so you can open the panel and look around without breaking anything. Reset to default puts a list back the way it shipped.
It fixes the phone, too
On a narrow screen, Customers and Quotes now stack into labelled cards instead of a wide table you drag sideways. A column you asked for moves down the card rather than being hidden — so choosing a column actually gets you that column, on any screen.
## Customise the customer and lead files
The lists are one half. The other is the file itself — the page you open when a customer is on the phone. On Customers and Leads, open any record and you'll find the same View button: on a customer, beside the Overview / Garage / Money / Files / Profile tabs; on a lead, in the row of buttons at the top.
It works exactly like the list panel — switches, then Save view, saved for you alone — but what it switches is whole sections.
What you can put on a customer's file
A lead's file works the same way: Details, First response, Owner, Status, Follow-up, Customer record, Photos, Possible duplicates, Quotes, Conversations and Activity all switch on and off — plus one that's new, Their rating, which shows what this lead's customer record scored you before you dial them back.
Which plan gets what
Choosing columns on your lists is on every plan and always will be. Choosing what the customer and lead files show starts on Growth. On a smaller plan the View button is still there on a record — it opens the full list of sections so you can see exactly what's on offer — and every section stays exactly where it has always been on the record itself. Nothing is ever hidden from you; what the plan adds is the ability to rearrange it. If you build a layout and later move down a plan, the layout is kept, not deleted — it comes back if you upgrade.
## Choosing who can rearrange them (Command)
On Growth, everyone who can open a customer or lead arranges their own file and nobody can stop them — which is right for a front desk of two or three. On Command you can decide instead: Settings → Record layouts offers two choices.
Everyone is how it ships. Only chosen people lets you tick the people who get their own arrangement; everyone else reads the shop's standard file. That's for a floor that would rather have one agreed layout than eleven, or that wants new hires on the standard record until they know the place.
Restricting takes nothing away from anyone
Somebody left off the list opens exactly the same customer file, with every section on it, in your shop's standard layout — they see a whole record, not a smaller one. The only thing they can't do is move the sections around. And owners and managers are always allowed, whatever the list says, so you can never lock yourself out of the setting you just changed.
Google reviews are matched by name — treat them as a strong hint
Google doesn't tell us which of your customers left a review; the only thing on the review is the name they signed it with. So this section matches on that name exactly — same spelling, ignoring capitals and accents — and shows nothing at all when two people in your book share a name. It will miss a review left under a nickname, a spouse's account or a company name. That's why it ships switched off: turn it on if it's useful, and read it as "this is probably them" rather than as a fact.
## The Rating column
If you have Reviews → Ask for a rating first switched on, customers tap a star before they reach Google. Every one of those taps — the happy ones included — is now recorded against that customer and the job they were rating.
Where a customer's rating shows up
Ratings start from today
There's no history to fill in — before this, a 4★ or 5★ tap went straight out to Google and was never stored anywhere. The column fills up over the following weeks as customers rate new work.
This does not gate your reviews
Nothing about what the customer sees has changed. Every customer still gets the same ask and the same page, and the link to write a public Google review is on screen for a 1★ tap exactly as it is for a 5★ one. We simply write down what they tapped on the way through — including which way the tap was routed, so you can prove from your own data that low ratings still reach the public form.
Troubleshooting
A rating shows on the job but the customer's record shows nothing.
Why: The job wasn't attached to a customer record when it was rated.
Fix: Open the job and set its customer. New ratings will land on that record; the existing one stays with the job.
Common questions
Why is my Rating column empty?
Either the shop hasn't switched on Reviews → Ask for a rating first (the View panel says so on the Rating row), or nobody has rated a job since the feature went live. Ratings are only collected from the star step — a Google review posted directly doesn't create one.
If a customer rates the same job twice, which one counts?
The last one. A customer has one opinion of a job, so re-rating replaces the star — but anything they had already written stays attached.
Does turning a column off delete anything?
No. It only changes what you see. Everything is still on the record, and Reset to default brings the standard columns straight back.
Can I customise the actual customer page, not just the list?
Yes, from Growth up. Open a customer or a lead and press View — the panel switches whole sections on and off, including their ratings, their Google reviews, contact details, how to reach them, their garage and their open work. On Essentials the button opens the same panel read-only, and the record keeps every section it has always had.
Why can't I see a customer's Google review on their file?
Three reasons, in order of likelihood: the section ships switched off (turn it on in View on the customer's file), Google Business isn't connected under Integrations so there are no reviews to match against, or they signed the review with a different name — a nickname, a spouse's account, a company. The match is made on the name and nothing else, because that's all Google gives us.
Can I set the columns for my whole team?
Not the columns themselves — a layout is per person by design, so nobody can rearrange a colleague's screen, and everyone starts from the same shipped defaults. What you *can* do, on Command, is decide who gets to rearrange the customer and lead files at all: Settings → Record layouts.
I'm on Command and my team can't change their record layouts.
Check Settings → Record layouts. If it's set to *Only chosen people*, only the people ticked there (plus every owner and manager) can save an arrangement. Switch it back to *Everyone*, or tick the people who need it. Nobody is losing any part of the record either way — only the ability to move it around.
